Responsible for coordinating all phases of graduate program activities. Coordinates administrative activities of a graduate program within a college department or program. The Graduate Program Administrator reports to the Graduate Program Manager and Associate Chair for Graduate Education.ResponsibilitiesContinuing Student Coordination/ Graduate Program Administration: Assist with administration of the CMB, MIC, and BCH Graduate Programs with direction from the Graduate Studies Chairs, Advisors, Graduate Studies Committees, and MBS Associate Chair for Graduate Education. Coordinate Qualifying Exam Process for second year students and follow up exams. Oversee completion of routine degree processes (add/drops, change of records, late registration, grade changes, graduation, etc.) and submit special petitions with approval of Graduate Advisors and GSC Chairs. Monitor and ensure that every student holds an annual committee meeting following candidacy, completes degree milestones on-time, and is aware of their graduation requirements. Complete Program of Work for terminal master’s degrees.First-Year Coordination and Administration: Manage communications with incoming and onboarding students to ensure they have up-to-date information on getting started and managing their first semester at UT. Manage laboratory rotations’ documentation, student inquires, and evaluation, as well as data entry for assessment and hand-off of students to permanent labs at the end of the Fall semester. Execute coordination of “early” rotations in the summer prior to the first year, as well as “late” fourth rotations for students who fail to join a lab on schedule. Assist with planning and implementation of annual new student orientation for first-year graduate students in fall term.Graduate Student Recruitment: Assist Graduate Program Manager with all administrative aspects of annual recruitment events. Assist with strategic outreach efforts, including attendance at on- and off-campus conferences and events, respond to inquiries via phone and email from prospective students as needed throughout the year. Assist with data collection and entry for assessment of admissions practices. Assist with organization and maintenance of admission virtual interviews, crafting of offer letters, and data collection and entry for assessment of recruitment practices.Graduate Student Fellowships: Coordinate with ILSGP Senior Admin Associate to announce, gather, and submit Graduate Student applications for UT issued fellowships. Maintain records on students fellowships and their statuses.Reporting: Assist with data collection and entry for program assessments. Assist with survey distribution for student surveys.Communications: coordinate with ILSGP Senior Admin on creation and distribution of announcements and information across all media channels for appropriate graduate program audiences on a timely basis.Miscellaneous Duties: Attend Graduate Coordinator Network (GCN) meetings on behalf of the graduate programs. Assist with organization of monthly ILS Executive Meetings. Early morning, evening and weekend work may be required outside of the 8-5 time-frame during orientation, recruiting and annual retreat events. Travel to national conferences required 2-3 times per year.Required QualificationsBachelor’s degree. Five years of experience working with college students in an administrative or advising capacity. Experience with UT processing systems: Workday; DEFINE; FRMS.Relevant education and experience may be substituted as appropriate.Preferred QualificationsAbility to establish interpersonal relationships and communicate effectively. Ability to plan for and meet program deadlines. Experience in dealing with student issues and needs.
