Job description: FocusKPI is looking for a Regional Event Manager to join one of our clients, a high-tech, SaaS company.As a Regional Event Manager in the Workplace Experience Event Team, you’ll be working as part of a dynamic and experienced global team of event, marketing & comms experts who ideate, create, and implement in-person and virtual events – connecting everyone both locally, regionally, and globally.You’ll be executing their internal events and event marketing strategy in your region, running high-visibility and
high-impact events that proactively optimize company culture and connection opportunities amongst teams and work friends. This includes regular in-person and virtual/broadcast programming at your local client office, as well as other client offices/third-party venues across the USA, and online.You’ll act as the event lead on your projects and the main point of contact for program design and production vendors in your region, including creative, content and event production vendors . As part of this, you’ll be responsible for briefing and managing vendor deliverables, working with them to achieve outcomes in line with the approved budget and seeking internal stakeholder approval as required.Work Location: Austin TX or New York City (in office 1-3 days per week)
Duration: 12 months contract
Pay Range: $35/hr to $45/hrResponsibilities:

  • Ultimate team player – collaborating daily with regional and global counterparts to create and execute events, taking the role of lead, core contributor or support on global and regional projects as appointed (your teammates in the Event Team are based in Australia, India, The Netherlands & United Kingdom)
  • Quickly foster trusted internal relationships – building great relationships with the many teams you’ll be working with is key, including the wider Workplace Experience team, as well as many other internal partners and stakeholders including Internal Comms, Creative & Brand, Marketing, and the Founders Team
  • Become a local subject matter expert and role model whilst maintaining a global perspective – you’ll need to get to know your local client customers and become a leader for change to champion your local audience and the AMER region, whilst also considering the influence and nuances of a global setting
  • Over-communication – a key part of working as part of a global team is providing regular asynchronous written updates to the team, your manager, and stakeholders to ensure all are kept informed and up to date
  • Get stuck in – there will be times when they can leverage vendors and partners to manage all deliverables, but there will be other times you’ll need to roll your sleeves up and do whatever is needed to deliver on the asks – there’s no job too small for this team
  • Prioritization – maintains focus on critical priorities or projects that drive their event goals Objectives and Key Results (OKRs)
  • Keep focused – work across the organization and company to drive event outcomes, align team management and stakeholders, mitigate risk, and deliver value to their internal and external customers
  • Be the best at briefs – work smart on planning, production, and delivery of events while collaborating with local/global vendors and partners on flawless execution
  • Source and build harmonious partnerships – form collaborative working relationships with existing trusted vendors, and take the lead on vetting, sourcing, and onboarding new vendors to evolve the vendor network to be consistently fit for purpose
  • Good with numbers – you’ll be the budget and finance lead management for regional and local events, including scoping, vendor price negotiation, procurement management, ongoing budget management, and reconciliation/review
  • Event comms and marketing development – brief and partner with the Event Team Comms Lead to localize comms and increase relevance to your local audience, ensuring you get cut-through (and interactions) in busy channels
  • Program promotion – actively promote event programs using internally approved systems including Slack, Swoogo & Gmail, to maximize awareness of upcoming events
  • Handle difficult conversations – act as a point of escalation for event experience-related issues, escalating to your manager as needed
  • Problem solver & strategic thinker – identify “trade-offs” to reach the best outcome for their customers within time and budget constraints
  • Listen and evolve – observe the way both client staff and client processes interact with events to anticipate future needs and propose improvements
  • Deep dive on data for continuous improvement – development of post-event retrospectives including analytics deep dives and review of customer insights, to recommend improvements to future deliverables and maximize operational efficiency
  • Learn on the job – They use these products in their day-to-day (Confluence, Jira, Loom, Trello etc.) as well as other products (Slack, G-Suite, Swoogo, Coupa, Concur, Fieldglass, Flickr etc.) – previous experience of using these products is not required but quick adoption of these products is essential

Qualifications:

  • 5+ years of relevant professional experience in event production
  • Education to degree level is preferred, but not required (qualification does not need to be Events specialized – for context, the current team holds qualifications in Geography, Media, Accounting, Journalism & Drama)
  • Experience in end-to-end delivery of in-person and virtual/broadcast events for small and large groups in a variety of settings, including event planning, financial management, marketing and promotion, and delivery
  • Experience with confluence, excel, and slack
  • Strong financial acumen and analytic rigor; drive to support budget and creative decisions with insights and data, and the ability to make data digestible to varied audiences
  • A well-developed local/regional network of event production vendors & delivery partners
  • Event agency background and experience working in a global team is preferred, but not essential
  • Excellent communication, organization, and collaboration skills
  • Mix experience in agency and client
  • Working on multi-projects at the same time

Logistics:This is a full-time, contractor position and you will need to be based in one of the following locations; Austin TX, New York City. You will be required to work in person at the local client office on an average of 1 – 3 days per week, including acting as the main point of contact for on-site events, conducting event setup and any vendor site visits, and getting to know the local client workers to fully immerse yourself in the local client culture.There may be occasional travel as part of this role (mostly regional, within the USA).
