What starts here really does change the world.For more information about Texas McCombs please visit:PurposeProvide administrative support for BBA International Programs (IP) team, in the Texas BBA Program Office in the McCombs School of Business, a top-ranked business school at a leading public research university.Responsibilities

  • Provide faculty-led program administrative support: Handle purchasing and payment processes (entertainment and food forms, purchase orders, ProCard use, invoices and reimbursements, program deposits, student billing, etc.). Process various program contracts and student scholarships for International Programs. Process travel documents and cash advances for International Programs faculty, staff and students.
  • Provide IP administrative support: event and room bookings and reservations for IP events and classes, organize certain meetings, assist with office events and activities, and update and create printed materials and procedure manuals for various IP activities. Monitor and audit account transactions for IP and FL accounts. Serve on study abroad program and scholarship selection committees as needed each semester.
  • Assist in Incoming Exchange student support, including application, preparation for student arrival, and orientation planning. Assist Semester Program Coordinator(s) in the credit transfer process, including coordinating the evaluation of courses offered/ taken abroad with the UT course equivalents, corresponding with students abroad on courses taken, and the credit transfer once students return from study abroad programs (FCAF forms, copying transcripts, etc.).
  • Serve as a staff volunteer during Office Wide Programming (fall/spring commencement, career expo, mock interviews, freshmen and transfer orientation). Other duties as assigned, potentially within other BBA Program Office areas.
  • Other related functions as assigned.

Required Qualifications

  • Bachelor’s degree and one year of experience at the Administrative Assistant level, or high school graduation or GED, and five years of clerical experience, including one year of experience at the Administrative Assistant level.
  • Strong interpersonal skills and demonstrated ability to work independently and as part of a team.
  • Strong problem-solving skills.
  • Ability to communicate well in person and in writing.
  • Ability to assess workload, prioritize tasks, and meet deadlines to successfully manage concurrent projects for multiple areas with accuracy.
  • Experience with Microsoft Office Suite.

Relevant education and experience may be substituted as appropriate.Preferred Qualifications

  • Education/Experience beyond the required, advanced knowledge of Microsoft Office Suite, especially with Excel.
  • Experience with UT Mainframe and web functions, and other UT systems.
  • Experience coordinating events and processing travel vouchers including travel for special guests/staff.
  • Experience working effectively within UT’s administrative infrastructure.
  • Experience with business support functions in a university academic department or executive office.
  • Experience maintaining budgets

Salary Range$43,000 – $44,000 + depending on qualificationsWorking Conditions

  • Works in a standard office environment with repetitive use of a keyboard at a workstation.
  • Occasionally lifts/moves boxes weighing up to 45 pounds that arrive to the BBA Program Office.
  • Typical Work Shift is Monday – Friday, 8am – 5pm. Some evening and weekend hours may be required during peak periods and special events.
  • This is an Austin, Texas-based position.
